Position Summary
The program associate will support the Foundation’s grantmaking efforts in Hawaiʻi, as well as Foundation-wide grant management and data analysis. This role will assist in analyzing metrics, managing and monitoring active grants, and conducting due diligence on prospective grantees. In addition, the program associate will support the Hawaiʻi-based Program team members with managing contact lists, advancing local staff volunteer opportunities, handling logistics for site visits and small gatherings, and contributing to internal and external communications as needed.
Overall Responsibilities
- Maintain grantmaking timelines, budgets, and files.
- Conduct due diligence on grant opportunities in support of managing director, program director, and program officer.
- Review and synthesize nonprofit financial information, including program and capital budgets, and create summaries of nonprofit programs and services.
- Support creating memos and presentations as needed.
- Learn and use grant management system in collaboration with program director and grants associate.
- Assist with creating internal meeting agendas and other supporting documents.
- Maintain email and event-related lists.
- Support Hawaiʻi program team’s grant reporting process, including highlighting key lessons learned.
- Monitor and synthesize data.
- Support development, dissemination, and analysis of grantee surveys.
- Support logistics for site visits, convenings, and other program-related events.
- Coordinate staff volunteer opportunities.
- Draft emails and basic summaries of meetings and events.
Skills and Qualifications
- Experience and Professional Background: One to two years of experience providing administrative and programmatic support in a nonprofit, philanthropic, government, or related environment. Bachelor’s degree preferred. Strong data analysis skills and interest in learning and reviewing complex data systems. Ability to work on deadlines and support multiple portfolios. Growth mindset: comfortable with ambiguity and learning through imperfection. Deep commitment to Hawaiʻi. Familiarity with nonprofits and nonprofit ecosystems: preference for candidates who understand community-based organizations. Ability to work well in teams and collaborate productively with colleagues and external partners. Initiative, positive attitude, and creative problem solving.
- Technical Skills: Proficiency in Microsoft Office, Teams, Outlook, Zoom, and Salesforce experience preferred. Experience grant writing or monitoring grants, and familiarity with communications, evaluation reports, documentation processes, and record keeping.
- Initiative and Collaboration: Demonstrated proficiency in working independently, delegating duties, and collaborating effectively. Honesty, integrity, humility, and openness to constructive feedback and continuous improvement.
- Analysis and Communication: Ability to maintain strict confidentiality, handling highly sensitive information with discretion and professionalism. Strong writing and editing skills, with meticulous attention to detail, including fact checking. Ability to analyze and evaluate grant applications, including financial and programmatic components. Benefits and Salary Range
Compensation for this position includes an annual base pay range of $85,000–$95,000. Additionally, the Foundation offers a generous and comprehensive benefits package that includes vacation and sick leave, health insurance, and a retirement plan with employer contributions.
